1. Scope
This Privacy Policy explains how WatchLlama ("WatchLlama," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit our websites, create an account, use our buying-signal monitoring and outreach tools, or otherwise interact with us.
2. Information we collect
We collect information in the following categories:
- Account and workspace information. Name, email address, authentication identifiers, company details, team membership, settings, and permissions.
- Product content. Watch criteria, ideal-customer profiles, prompts, monitored sources, signals, leads, company and contact details, source evidence, notes, campaign content, outreach history, and other information you submit or generate through the service.
- Connected-service information. Information made available through integrations you authorize, such as email, calendar, CRM, or other business tools. The information available depends on the provider and permissions you select.
- Billing information. Plan, subscription, invoice, and transaction status. Payment-card details are processed by Stripe; WatchLlama does not store complete payment-card numbers.
- Usage and device information. IP address, browser and device data, timestamps, pages and features used, diagnostic logs, and error reports.
- Public and third-party business information. Public online posts, profile and company information, source URLs, and business contact information obtained from public sources or search and enrichment providers.
- Communications. Support requests, feedback, sales inquiries, and other messages you send us.
3. How we use information
We use personal information to:
- provide, maintain, secure, and improve WatchLlama;
- authenticate users and administer workspaces, trials, subscriptions, and billing;
- monitor user-defined sources, identify possible buying signals, enrich business records, and organize leads;
- generate summaries, recommendations, drafts, and other AI-assisted outputs;
- run user-directed integrations, campaigns, and outreach workflows;
- communicate about the service, respond to support, and send operational notices;
- detect abuse, investigate incidents, enforce our Terms, and comply with law; and
- analyze product performance and develop new features.
4. How we disclose information
We may disclose information in the following circumstances:
- Service providers. Vendors supporting hosting, authentication, databases, payments, AI processing, web search and enrichment, email delivery, integrations, analytics, and error monitoring. These providers process information for us under their own contractual and security obligations.
- Your instructions. People, workspaces, integrations, destinations, and recipients you choose, including when you send or export leads and outreach.
- Legal and safety reasons. When reasonably necessary to comply with law, protect rights and safety, investigate misuse, or respond to lawful requests.
- Business transactions. In connection with a financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate protections.
We do not sell personal information or share it for cross-context behavioral advertising.
5. AI processing and public sources
WatchLlama uses automated systems and third-party AI, search, and enrichment providers to evaluate user-defined criteria, locate public information, enrich records, and produce summaries or drafts. Results may be incomplete, outdated, or incorrect and should be reviewed before use.
Do not submit sensitive personal information or confidential information that you are not authorized to process. You are responsible for ensuring that your monitoring, enrichment, and outreach activities comply with applicable law and platform rules.
6. Data retention
We retain information for as long as reasonably necessary to provide the service, maintain legitimate business records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary by data type, workspace settings, account status, and legal requirements. Deletion from active systems may not immediately remove information from security backups.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information. No security measure or transmission method is completely secure, and we cannot guarantee absolute security. Please use a strong password, protect your login credentials, and notify us if you suspect unauthorized access.
8. International processing
WatchLlama and its service providers may process information in countries other than where you live. Those countries may have different data-protection laws. Where required, we use recognized safeguards for cross-border transfers.
9. Your choices and privacy rights
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information; object to or restrict certain processing; withdraw consent; or appeal a decision about a privacy request. You may also update certain account information directly in the product and disconnect integrations at any time.
To submit a privacy request, email hello@watchllama.com. We may need to verify your identity and authority before completing a request. We will not discriminate against you for exercising applicable privacy rights.
10. Children
WatchLlama is a business service and is not directed to children under 18. We do not knowingly collect personal information from children through the service. Contact us if you believe a child has provided personal information to us.
11. Changes and contact
We may update this Privacy Policy as the service and legal requirements change. We will post the updated version here and revise the effective date. If a change materially affects your rights, we will provide additional notice when required.
